About the Role

The Concierge Receptionist is the first face our clients see each morning and plays a key role in setting the tone for the day. This position blends hospitality, administrative precision, and operational excellence. The ideal candidate is proactive, organized, and thrives in a fast-paced, high-touch environment where attention to detail and multitasking are essential.

Schedule

This is a part-time position working up to 20 hours per week.

Typical coverage includes:

• Tuesday and Thursday: 4-6 hour shifts for our mid-to-close shift, with start times typically between 11:30 AM and 1:30 PM.
• Saturday: A minimum of one Saturday per month is required. Saturday shifts range from 4-8 hours, with start times between 5:45 AM and 6:45 AM.
• While most scheduled hours fall within the times listed above, applicants should have the flexibility to work other shifts within our operating hours as needed to provide coverage for vacations, illnesses, or other staffing needs.

Key Responsibilities

Opening Excellence

• Prepare the center for the day by finishing laundry, unloading the dishwasher, brewing coffee, prepping infused water, starting music/ambience, and ensuring all spaces are spotless.
• Check and respond to voicemails, texts, and emails in the client queue.

Client Experience

• Greet clients with warmth and professionalism, ensuring every visit feels seamless and personalized.
• Offer refreshments and anticipate client needs throughout their visit.
• Maintain a polished and organized reception and lounge environment that reflects our five-star standard.

Operational Flow

• Manage appointment scheduling, calls, and inquiries efficiently.
• Support providers and clinical staff with administrative needs.
• Coordinate between departments to ensure the day runs smoothly and efficiently.
• Prioritize daily tasks strategically, balancing client-facing duties with behind-the-scenes responsibilities.
• Confirmation of appointments as necessary.

Confidentiality & Professionalism

• Uphold strict client privacy and demonstrate sound judgment in all interactions.

Closing Excellence

• Complete closing duties, including laundry, dishwasher, trash, restocking supplies, and sanitizing common areas.
• Reset the reception area, lounge, and treatment spaces to our five-star standard.
• Ensure all client communications have been addressed or appropriately handed off for follow-up.
• Secure the facility by following all end-of-day closing procedures, including equipment shutdown, locking doors, etc.
• Identify and communicate any maintenance, inventory, or operational concerns to ensure a seamless opening the following day.

What We’re Looking For

• Bachelor’s degree (any discipline).
• Minimum 3 years of experience in hospitality, concierge, luxury service, or healthcare front desk operations.
• Strong organizational and multitasking skills with an innate sense of priority-setting.
• Tech-savvy with experience using scheduling or EMR & Scheduling systems (Elation and Mindbody a plus).
• Polished, professional demeanor and excellent written/verbal communication skills.
